Overview
Medicines, vaccines and medical devices arrive usable only if three things hold from pickup to delivery: the right temperature, clean and intact packaging, and an unbroken chain of custody. Clearance then comes down to documents, such as batch certificates and clear product descriptions. This guide covers which products need cold chain, how to protect and prove product integrity, who supplies which documents, what the US, EU and Middle East check, and the usual lanes and transit times.

Get a quoteThree Risks to Control in Transit
Damage to medicine usually can't be undone, so the plan has to prevent it. Control these three physical risks:
Many biologics, vaccines and drugs lose potency or become unsafe outside their temperature range, and the damage is irreversible. Common bands: 2–8°C (refrigerated) for vaccines, insulin and biologics; 15–25°C (controlled ambient) for most finished tablets and capsules; -20°C and below (frozen) for cell therapies and clinical trial samples.
- Qualified insulated packaging (thermal boxes, vacuum-insulated panels)
- Gel packs or dry ice, depending on the required range
- Calibrated data loggers that record the full temperature history
- Pre-qualified airline and trucking cold-chain routes
Medicines and medical devices must arrive free of contamination, tampering and physical damage.
- Tamper-evident seals on cartons and pallets
- Sterile packaging for medical devices and injectables
- Cushioning and shock protection for glass vials and ampoules
Pharma shipments are high-value and a target for theft. Any break in the chain of custody puts the product's integrity, and your buyer's trust, at risk.
- Controlled-access warehouse zones that meet GxP (the good-practice quality rules for regulated medicines)
- TAPA-certified carriers (TAPA is a cargo-security standard) or dedicated airline pharma services
- A documented chain of custody from pickup to delivery
Documents: Who Supplies What
Getting the documents right is the biggest factor in smooth pharma clearance. The shipper supplies the product and regulatory documents; the forwarder handles transport and customs documents.
A. Product and Regulatory Documents (Shipper)
| Document | Why it matters |
|---|---|
| COA (Certificate of Analysis) | Verifies product quality and batch integrity |
| GMP / Manufacturing License | Confirms the product was made to regulated production standards |
| Batch Records & Expiry Dates | Supports traceability, and recalls if needed |
| Stability Data | Shows the temperature range the product can tolerate in transit |
| MSDS (for APIs or chemicals) | Gives safety and handling information |
| Product Registration (if required) | Needed in some markets before import |
B. Transport and Customs Documents (Forwarder)
| Document | Why it matters |
|---|---|
| Commercial Invoice & Packing List | Shows value, batch, HS code and expiry |
| Air Waybill (AWB) / Bill of Lading (BL) | Contract of carriage; notes the required temperature where needed |
| Certificate of Origin | Supports tariff treatment and destination compliance |
| Temperature Log | Proves the product stayed within its temperature range |

Pharma Shipping FAQs
Vaccines, insulin, biologics and heat-sensitive injectables typically need 2–8°C. Most tablets ship at ambient temperature unless otherwise specified.
With a calibrated data logger placed inside the packaging. It records the full temperature history of the shipment.
Yes. Stable APIs often ship in dry containers with humidity control. Biologics should ship by air.
Missing batch certificates, vague product descriptions and undeclared controlled substances. Check all three before the cargo leaves.
Use tamper-evident packaging, keep chain-of-custody logs and store goods in secure, GxP-compliant warehouses.
